PINKpro user manual

1. General Information

PINKpro is an interactive, AI-powered chat coach that supports employees and managers throughout organizations in developing human skills. Through dialogue, it combines personalized learning and action tips with PINKTUM’s high-quality e-learning offerings. This makes PINKpro suitable both for ad-hoc problem-solving in real-world work situations and for the continuous and structured development of competencies in human skills. This ensures that learning is both long-lasting and effective.

2. System Requirements

  • Browser: Google Chrome, Firefox, Edge, or Safari (latest versions of each). JavaScript and cookies must be enabled.
  • Operating systems: Windows 10 or higher, macOS 10.14 or higher, Ubuntu 20.04 or higher, iOS 12.0 or higher, or Android 8.0 or higher.
  • Internet connection: Minimum of 3 Mbps—ideally 5 Mbps—for smooth operation.

3. Deployment

PINKpro is provided via the Internet through a browser in its current version for the duration of the contract.

PINKpro can also be used on mobile devices via the Progressive Web App (PWA). By adding PINKpro to the home screen of a smartphone or tablet, the AI coach is always readily available with access to all features.

4. User Accounts & Access

4.1 Login & Registration

PINKTUM provides the customer with login credentials that allow the customer to set up individual user accounts for authorized users via an administrator account and automatically invite them via email.

Users can then log in using their organization’s work email address and password.

4.2 User Roles & Permissions

  • Account Administrators: Invitation of users and user management, as well as access to all PINKpro features
  • Users (Managers and Employees): Access to all PINKpro features

5. Using the Core Features

5.1 Navigation

Chat Area:
Interaction with PINKpro, including learning and action tips, graphics, development prompts, TechTalks, and micro and macrolearning modules in the media carousel (see below). Voice or text input is supported.

Language Selection:
All content (chat, learning media, graphics, development prompts) is available in German and English. The language is selected during account setup and can be changed at any time using the DE | EN toggle in the profile menu.

Chat History:
Saving, searching, renaming, and deleting chats is available.

Favorites list:
Chats can be marked with a star icon and saved to a favorites list—for quick access to particularly helpful conversations.

Media carousel:
Curated learning content—microlearning modules (short videos), macrolearning modules (training modules), graphics, and development prompts—tailored to the current topic in the chat.

Sample Prompts:
Suggestions for starting a chat, located directly in the chat window.

Profile Menu:
User account management, display options, form of address (informal or formal speech in German), simplified language (see below), and gender options; peronalization(see below).

Simplified Language:
Simplified language can be enabled via the settings in the Profile Menu. This makes responses and recommendations for action clearer and easier to understand—ideal for users who are less familiar with psychological or technical terms.

Overview of started and completed learning content.

Information & Help:
Access to FAQs and support information via the profile menu.

5.2 Dialogue-Guided Learning

In the chat interface, the user engages in interactive conversations with PINKpro. The system focuses on the topic of Human Skills. It utilizes PINKTUM’s expertise and learning methodology, integrated via a dedicated knowledge database.

The dialog supports:

  • Knowledge acquisition and consolidation
  • Application in real-life situations
  • Reflection and self-development

5.3 Personalization of the Learning Journey and Learning Tips

Learning with PINKpro can optionally be personalized by identifying the user’s individual learning style using a scientifically sound and long-proven analysis tool from PINKTUM (“PINKprofile”). The tool is used to analyze one’s personal strengths and unconscious areas for development. The results serve to provide the learner with tailored and personalized learning tips and development prompts (see below).

Clicking the “Personalize Learning Journey” button launches the tool. It asks the user questions and presents a selection of images with short tasks. Completion takes just a few minutes.

Based on the results, PINKpro generates individual learning tips with helpful prompt examples, which are accessible in the chat window via the “Learning Tips” button and can be tried out directly in the chat with a single click.

The results are also actively incorporated into the chat dialogs. PINKpro tailors its responses, recommendations, and learning suggestions to each user’s personality. Every personalized dialog ends with a motivating prompt, such as an in-depth question.

5.4 Learning Resources and Development Tips in the “Media Carousel”

According to the dialog topic with PINKpro, various learning resources are made available via the chat in the media carousel:

  • Microlearnings: Short video clips (2–5 min.) for quick reinforcement.
  • Macrolearnings: In-depth modules (45–60 min.) featuring text, video, and knowledge quizzes. Progress is automatically saved.
  • TechTalks: Compact learning units of roughly 15 minutes that convey practical knowledge about AI trends and tools.
  • Graphics: Visualized models and concepts
  • Development prompts: Personalized suggestions and tips tailored specifically to the user’s personality and learning goals. They promote self-reflection and long-lasting skill development. Development prompts are only displayed after the user has completed the introductory module via the “Personalize Learning Journey” tool.

5.5 User Dashboard

Accessible via the profile menu. The dashboard provides a concise overview of:

  • current learning content,
  • frequently used topics and key learning areas.

6. Support & Troubleshooting

  • Login issues: Check your login credentials; reset your password if necessary.
  • Technical issues: Clear your browser cache; reload the page.
  • Content-related questions: Contact your organization’s account administrator. They will forward complex issues to PINKTUM if necessary.
  • FAQ: Accessible via the profile menu. PINKpro itself can additionally answer questions about how to use the platform.

7. Data Protection & Security

The personal data processed within PINKpro is used exclusively to enable the user to use and interact with the product. To further develop the system, PINKTUM collects only anonymized usage data (features, learning content, etc.), which is analyzedin order to continuously improve PINKpro and to optimize the learning experience. All data transfers are secured using modern encryption algorithms. Detailed information can be found in PINKpro’s privacy policy or on the PINKTUM homepage.

2. Introduction

2.1 Description

The PINKTUM Academy is a cloud-based learning platform that provides employees—depending on their license—with access to PINK products (PINKmacro, PINKmicro, PINKtech Talk, PINKpro, and PINKprofile) within a single, centralized platform.

Thanks to intuitive user guidance, individual learning journeys can be designed to ensure optimal learning success. Employees can keep track of started or ongoing e-learning courses at any time; mandatory training courses are also clearly marked. An integrated reminder function helps ensure timely completion.

With customizable learning paths, personal development can be planned in a structured manner. A favorites function allows users to mark preferred content and find it quickly. Upon successful completion, each PINKmacro is concluded with a certificate, which is available for download at any time.

For designated administrators, the PINKTUM Academy offers extensive features for the targeted and efficient design of digital professional development.

Administrators can flexibly decide whether the entire learning portfolio should be freely accessible to all employees or whether content should be assigned individually. Invitations to use the platform can be sent individually or in bulk via a CSV import.

For targeted management, groups can be easily created, for example, to represent different company departments or teams. Company-specific learning paths can also be designed, enabling a tailored combination of relevant e-learning modules.

3. Using Core Features

3.1 Navigation for Administrators

User Management:

  • Inviting and managing employees by authorized administrators—either individually or via CSV—to use the available PINK products
  • In addition to individually inviting employees, the PINKTUM Academy also offers the option of self-registration using predefined domains.
  • Authorized users are invited via email and can log in using their work email address and password.

 

Organizational Settings:

  • Uploading the logo and organization name to customize the platform to the company’s specific needs.
  • Creating a self-registration link after defining the usable domains.
  • Overview of available licenses and their terms by product (Pinktum Academy, PINKpro, PINKprofile) and license model (Corporate, Flat Rate, Enrollment).
  • Activate and deactivate the course catalog for learners.

 

User groups:

  • Create customizable groups and assign e-learning courses accordingly.

 

Course management:

  • Assign courses to employees and groups using an integrated search and filter function; courses can also be assigned as mandatory trainings with a specified due date.

 

Learning paths:

  • Creation of company-specific learning paths or, alternatively, use or customization of predefined PINKTUM learning paths.

3.2 Navigation for Employees

Personal Profile:

  • Overview of stored individual user data (first name, last name, email address).
  • Preferred system language setting (German, English, French, Spanish).
  • Access to the individual PINKprofile report.
  • Security settings—Password reset.

 

Homepage:

  • Personal overview of started and completed courses and learning paths.
  • Quick link to recently started e-learning courses.
  • Overview of available e-learning courses by category.
  • Overview of assigned courses and learning paths.

 

Explore:

  • E-learning course catalog with comprehensive search and filter functions.

 

Favorites:

  • Overview of e-learning courses individually marked as favorites.

 

My Learning Area:

  • Detailed overview of all courses and learning paths assigned to the user, or previously started courses, along with their status and learning progress.
  • Collection of all certificates with a download function.

4. Support & Troubleshooting

4.1 Distinction Between Users and Admins

Direct Contact: Users should contact their account administrator—as defined within their organization and named in the invitation email—directly with any questions or issues.If the account administrator cannot resolve the issue immediately, they can forward it to the PINKTUM team. The issue will be processed as quickly as possible and communicated back to the user via the account administrator.

2. Introduction

2.1 Description

PINKTUM World is the central platform for all PINKTUM customers who have their own learning management system. Pre-designated administrators are granted access to PINKTUM World, enabling them to access their rented or purchased PINKTUM products (PINKmacros, PINKmicros, PINKtech Talks, IDD courses, mandatory training, and Microsoft courses) 24/7. The corresponding e-learning courses are available for download in the pre-defined formats (SCORM 1.2; SCORM 2004; TinCan xAPI). Depending on the licensing model, the e-learning courses available to the customer are updated monthly along with the latest PINKTUM releases. To ensure the highest possible transparency, PINKTUM World tracks the download status or an e-learning module, allowing every administrator to have a current overview at any time.

In addition, administrators can distribute licenses for PINKprofile to employees within PINKTUM World.

2.2 System Requirements

3. Using Core Features for Administrators

3.1 Dashboard

Overview of all available products—PINKmacros, PINKmicros, PINKtech Talks, PINKprofile—with quick links to the respective products.

3.2 Course Library

All available e-learning courses are listed as course cards and provide an overview of:

  • Product type
  • Product code
  • Available language versions
  • Download status and information on the rental period
  • Direct link to the download
  • Direct link to the course details page
  • Direct link to the changelog
  • Option to mark as a favorite
  • Update information

 

The course library offers various filtering options:

  • By category
  • By language
  • By status
  • By watchlist
  • By duration

 

The course library also offers a comprehensive search function.

From the card view, you can switch to the list view in the course library.

The course library can be sorted by product code or alphabetically (A–Z).

3.3 Download

By selecting one or more languages, the download can be started directly from the course card. Administrators can choose whether they download the e-learning file in the corresponding format only, or the e-learning cover image, fact sheet, workbook, and teaser (or all the above).

By switching to the list view, the download of multiple files can be started simultaneously. You can select either all e-learning courses, individual courses, or just the desired language versions for download. The administrator can decide whether to download the file only (see above) or to perform a CSV export.

When selecting the CSV export, the administrator has various options available to customize the export depending on the company’s needs:

If the download of one or more files, including a CSV file, is initiated, the administrator is provided with the CSV containing the pre-selected columns as well as the selected files. All files are named using both the item code and the e-learning title so they can be easily matched to the respective e-learning course at any time.

3.4 Personal Profile

3.5 FAQ Section

Through the FAQ section, administrators gain access to questions and answers, as well as the download area, where a comprehensive list of documents covering the topics “System Guides,” “Tips for HR Professionals,” and “Tips for Learners” can be found.

In the support section, the administrator can submit a support request directly—this is then routed to the PINKTUM Customer Success Team and addressed in accordance with the agreed-upon service level agreements.

Users should contact the account administrator designated within their organization directly with any questions or issues; this administrator’s name was provided to the user in the PINKprofile invitation email. If the account administrator cannot answer the question themselves, they can forward it to the PINKTUM team. The support request is then processed and communicated back to the user via the account administrator.

3.6 Course Durations

Here, administrators can view an overview of all e-learning courses available to their company, sorted by delivery date and type of delivery (purchase or rental).

3.7 Employees (relevant only for customers with PINKprofile licenses)

In the Employees section, administrators can invite employees to complete the PINKprofile based on the available licenses.

Administrators can either invite an employee directly by entering their email address or create a self-registration link and share it with the employees.

After registering or accepting an invitation, employees gain access to PINKTUM World but can only complete PINKprofile assessments and view their reports within the system.

Administrators cannot view employees’ individualized PINKprofile reports. Only a cumulative summary of course recommendations based on the PINKprofile is available to administrators.

4. Using Core Features for Employees (relevant only for customers with PINKprofile licenses)

4.1 PINKprofile

Upon receiving an invitation from an administrator, employees gain access to PINKTUM World.

Only the PINKprofile card is available to them on the dashboard.

They can start the PINKprofile and, upon successful completion, open the personalized report. This option remains available at all times.
