PINKpro user manual

1. General Information
PINKpro is an interactive, AI-powered coach that supports employees and managers at all levels of an organization in developing human skills. Human skills comprise soft skills, mental skills, and future skills. Through dialogue, PINKpro combines personalized action tips and development cues with PINKTUM’s high-quality e-learning offerings. In addition, real-life conversations can be practiced in interactive roleplays. Interaction is possible via text or voice input.
This makes PINKpro suitable both for ad-hoc problem-solving in real-world work situations and for the continuous and structured development of competencies in human skills. This ensures that learning is both long-lasting and effective.
2. System Requirements
- Browser: Google Chrome, Firefox, Edge, or Safari (latest versions of each). JavaScript and cookies must be enabled.
- Operating systems: Windows 10 or higher, macOS 10.14 or higher, Ubuntu 20.04 or higher, iOS 12.0 or higher, and Android 8.0 or higher.
- Internet connection: Minimum of 3 Mbps, ideally 5 Mbps, for smooth operation. For security reasons, PINKpro should not be used via a guest Wi-Fi network, but via the regular corporate network.
- Voice features (speech-to-speech mode and roleplay): A working microphone and speakers for which access has been enabled in the browser (e.g., via edge://settings/privacy/sitePermissions/allPermissions in Edge or chrome://settings/content in Chrome). A stable internet connection improves conversation quality. VPNs or corporate firewalls may affect speech recognition. Background noise should be avoided.
3. Deployment
PINKpro is provided via the Internet through a browser in its current version for the duration of the contract. As a standalone product, PINKpro is ready to use immediately. PINKTUM is currently working on ways to integrate PINKpro into learning management systems and other applications.
PINKpro can also be used on mobile devices, either directly in the browser or as a Progressive Web App (PWA). By adding PINKpro to the home screen of a smartphone or tablet, the AI coach is always readily available, with access to all features.
4. User Accounts & Access
4.1 Access & Login
PINKTUM provides the customer with an administrator account. Through this account, the account administrator sets up individual accounts for authorized users and automatically invites them via email.
Users then log in using their organization’s work email address and a password of their choice.
4.2 User Roles & Permissions
- Account Administrators: Invitation of users and user management, as well as access to all PINKpro features. User management only shows whether a user has been invited and whether their login has been activated. Account administrators have no access to users’ chat histories, roleplays, or personal learning areas.
- Users (Managers and Employees): Access to all PINKpro features.
4.3 Resetting or Changing Your Password
The password can be reset or changed via the “Password forgotten?” function on the login screen. Users who are already logged in and wish to change their password first log out, which takes them to the login screen.
Alternatively, the account administrator can reset the password.
5. Using the Core Features
5.1 Navigation
Chat Area:
Interaction with PINKpro, including action tips, development cues, TechTalks, microlearnings and macrolearnings in the media carousel (see below), and suggestions for relevant roleplays. Voice or text input is supported. A click in the chat switches to speech-to-speech mode (see below).
Language Selection:
All content and features (chat, learning media, reports, roleplays, and speech-to-speech mode) are available in German and English. The language is selected during account setup and can be changed at any time using the DE | EN toggle in the profile menu.
Chat History:
All chats are saved automatically, including the conversation summaries from speech-to-speech mode and the transcripts from roleplays. Chats can be searched, renamed, and deleted.
Favorites List:
Chats can be marked with a star icon and saved to a favorites list for quick access to particularly helpful conversations.
Media Carousel:
Curated learning content, i.e., microlearnings (short videos), macrolearnings (training modules), and TechTalks, tailored to the current topic in the chat.
Roleplay:
Start an interactive roleplay either via a recommendation in the chat or via a dedicated button in the sidebar (see below).
Sample Prompts:
Suggestions for starting a chat, displayed when a new chat is opened. After completing the personal discovery, additional individually tailored prompt examples are available.
Profile Menu:
User account management, language selection, display options, form of address (informal or formal speech in German), simplified language (see below), and gender options; activation of personalization via “Personalize Learning Journey” and display of the results (see below).
Simplified Language:
Simplified language can be enabled via the settings in the profile menu. This makes responses and recommendations for action clearer, shorter, and easier to understand, ideal for users who are less familiar with psychological or technical terms.
My Learning Area:
Overview of started and completed learning content, including progress. Macrolearnings that have been started can be resumed where they were left off.
Information & Help:
Access to FAQs and support information via the profile menu.
5.2 Dialogue-Guided Learning
In the chat interface, the user engages in interactive conversations with PINKpro. The system focuses on the topic of human skills. It draws on PINKTUM’s expertise and learning methodology, which are integrated via a dedicated knowledge database that is reviewed and curated by humans. This database comprises content from more than 1,000 e-learning courses, more than 300 management methods, and numerous development cues, and is continuously expanded and updated.
Among other things, the dialogues support:
- Knowledge acquisition and consolidation, e.g., through quiz questions on individual e-learning courses
- Application in real-life situations
- Reflection and self-development
Prompting Tips:
PINKpro is most effective when used step by step, i.e., asking one question at a time and refining the request along the way. The more specific the prompt, the more helpful the support. The following are particularly helpful:
- a description of the context and goal that is as specific as possible
- defining roles and perspectives
- concrete examples or scenarios
- information on the desired style or length
Targeted Search for E-Learning Courses:
PINKpro enables a targeted search of the entire PINKTUM e-learning database by title, topic, or format. Depending on the query, up to 20 matching e-learning courses are displayed in the chat with direct links. For a precise title search, it is advisable to add a term such as “e-learning,” “video,” or “training” to the prompt and to put the title in quotation marks.
5.3 Personalization of the Learning Journey
Learning with PINKpro can optionally be personalized through the personal discovery, which analyzes personal strengths and unconscious areas for development. The results are used to provide the learner with tailored dialogues, development cues (see below), and feedback on roleplays.
Clicking the “Personalize Learning Journey” button launches the personal discovery. It consists of two steps:
- Step 1: A few questions about personal strengths and areas for development (approx. 3–5 min.). The results are immediately incorporated into the dialogues.
- Step 2 (in-depth): Further questions, including about specific situations (approx. 12–18 min.). The in-depth step can be interrupted at any time; the results obtained so far are retained.
The results are presented in a report in the profile menu, including individual strengths and areas for development as well as personalized prompt examples. An interim report is available as soon as step 1 is completed. Every personalized dialogue ends with a motivating nudge, such as a follow-up question.
The personal discovery can only be completed once.
5.4 Learning Resources and Development Cues in the “Media Carousel”
Depending on the topic of the dialogue with PINKpro, various learning media are made available via the chat in the media carousel:
- Microlearnings: Short video clips (2–5 min.) for quick reinforcement.
- Macrolearnings: In-depth modules (45–60 min.) featuring text, video, and knowledge quizzes. Progress is saved automatically and can be resumed via “My Learning Area.”
- TechTalks: Compact expert videos of approx. 15 minutes that convey practical knowledge on current technology and AI topics.
All PINKTUM e-learning courses are available for streaming in German and English. Downloading is not possible.
5.5 Interactive Roleplays
Interactive roleplays allow users to practice real-life conversations directly in PINKpro. Roleplays can be started directly from the dialogue or via a dedicated button in the sidebar. If a roleplay matches the topic of the current conversation, it is automatically suggested in the chat.
Roleplays are moderated conversation simulations: a moderator guides the user through the scenario and brings in a suitable conversation partner, such as a customer or a colleague. At the beginning, the user is asked for some details about the situation, such as the product, the setting of the conversation, or characteristics of the other person. This tailors the roleplay to the individual situation.
After completing the roleplay, the user receives well-founded, personalized feedback and can ask follow-up questions that relate directly to the simulated conversation. The entire session is documented as a transcript and saved in the chat history together with the complete dialogue.
5.6 Speech-to-Speech Mode
Speech-to-speech mode (also: voice mode) enables full voice interaction with PINKpro, in German and English. A click in the chat switches to voice mode. Within an ongoing chat session, users can switch flexibly between voice and text mode at any time. The dialogue can be ended by voice command or by clicking the “X”.
After the dialogue ends, PINKpro automatically creates a conversation summary, supplemented by suitable e-learning courses or roleplays, and saves it in the chat history. The spoken dialogue itself is not saved.
5.7 User Dashboard
Accessible via the profile menu. The dashboard provides a concise overview of:
- current learning content,
- frequently used topics and key learning areas,
- the results of the personal discovery (report or interim report).
5.7 Accessibility
The AI coach and the personal discovery were developed in consideration of the requirements of the German General Equal Treatment Act (AGG). The personal discovery is designed to be independent of culture and educational background and can be validly applied regardless of gender, age, origin, or other protected characteristics.
Reports and charts are specifically optimized for accessibility:
- Color-independent display: Charts work reliably even in grayscale.
- Patterns in addition to colors: Score levels can be clearly distinguished even without color perception.
- Optimized contrasts: Good readability even at low screen brightness or in dark mode.
- Clear spacing and structure: Content is quick to grasp, even on smaller displays.
In addition to text input, voice interaction and simplified language support different user preferences. Due to the primarily visual presentation of results, the personal discovery is currently only suitable to a limited extent for people who are fully blind.
6. Support & Troubleshooting
- Login issues: Check your login credentials; reset your password if necessary (see 4.3).
- Technical issues: Clear your browser cache; reload the page.
- Issues with voice features: Check that the microphone and speakers are enabled in the browser, check your internet connection, and reduce background noise. VPNs or corporate firewalls may affect speech recognition.
- Content-related questions and problem reports: Contact your organization’s account administrator. They will handle the issue directly or forward it to PINKTUM if necessary.
- Rollout in your organization: PINKTUM’s dedicated Learning Consultant is available to support the introduction and use of PINKpro, e.g., with special workshops.
- FAQ: Accessible via the profile menu. PINKpro itself can also answer questions about how to use the platform.
7. Data Protection & Security
The personal data processed within PINKpro is used exclusively to enable the user to use and interact with the product. The data stored includes last name, first name, and job title. Chats, completed learning content, and roleplays are stored in encrypted form to enable personalized use. Only the user has access to this data. Employers and account administrators have no access to individual data.
To further develop the system, PINKTUM collects only anonymized usage data (features, learning content, prompts, etc.), which is analyzed in aggregate in order to continuously improve PINKpro and optimize the learning experience. It is not possible to draw conclusions about individual users.
All data is processed and stored on highly secure cloud servers in Germany and at other locations within Europe. Data transfers are secured using modern encryption algorithms, complemented by strict identity and access management. PINKpro is GDPR-compliant and also adheres to its own code of conduct and ethical standards developed by PINKTUM’s Human Ethics Committee (HEC).
Sensitive personal data or confidential company or organizational information should not be used when prompting. Situations can nevertheless be described in concrete terms: instead of names, addresses, or business-critical details, general descriptions such as “a colleague from sales” or “an important customer” are sufficient.

2. Introduction
2.1 Description
The PINKTUM Academy is a cloud-based learning platform that provides employees—depending on their license—with access to PINK products (PINKmacro, PINKmicro, PINKtech Talk, PINKpro, and PINKprofile) within a single, centralized platform.
Thanks to intuitive user guidance, individual learning journeys can be designed to ensure optimal learning success. Employees can keep track of started or ongoing e-learning courses at any time; mandatory training courses are also clearly marked. An integrated reminder function helps ensure timely completion.
With customizable learning paths, personal development can be planned in a structured manner. A favorites function allows users to mark preferred content and find it quickly. Upon successful completion, each PINKmacro is concluded with a certificate, which is available for download at any time.
For designated administrators, the PINKTUM Academy offers extensive features for the targeted and efficient design of digital professional development.
Administrators can flexibly decide whether the entire learning portfolio should be freely accessible to all employees or whether content should be assigned individually. Invitations to use the platform can be sent individually or in bulk via a CSV import.
For targeted management, groups can be easily created, for example, to represent different company departments or teams. Company-specific learning paths can also be designed, enabling a tailored combination of relevant e-learning modules.

3. Using Core Features
3.1 Navigation for Administrators
User Management:
- Inviting and managing employees by authorized administrators—either individually or via CSV—to use the available PINK products
- In addition to individually inviting employees, the PINKTUM Academy also offers the option of self-registration using predefined domains.
- Authorized users are invited via email and can log in using their work email address and password.
Organizational Settings:
- Uploading the logo and organization name to customize the platform to the company’s specific needs.
- Creating a self-registration link after defining the usable domains.
- Overview of available licenses and their terms by product (Pinktum Academy, PINKpro, PINKprofile) and license model (Corporate, Flat Rate, Enrollment).
- Activate and deactivate the course catalog for learners.
User groups:
- Create customizable groups and assign e-learning courses accordingly.
Course management:
- Assign courses to employees and groups using an integrated search and filter function; courses can also be assigned as mandatory trainings with a specified due date.
Learning paths:
- Creation of company-specific learning paths or, alternatively, use or customization of predefined PINKTUM learning paths.

4. Support & Troubleshooting
4.1 Distinction Between Users and Admins
Direct Contact: Users should contact their account administrator—as defined within their organization and named in the invitation email—directly with any questions or issues.If the account administrator cannot resolve the issue immediately, they can forward it to the PINKTUM team. The issue will be processed as quickly as possible and communicated back to the user via the account administrator.

2. Introduction
2.1 Description
PINKTUM World is the central platform for all PINKTUM customers who have their own learning management system. Pre-designated administrators are granted access to PINKTUM World, enabling them to access their rented or purchased PINKTUM products (PINKmacros, PINKmicros, PINKtech Talks, IDD courses, mandatory training, and Microsoft courses) 24/7. The corresponding e-learning courses are available for download in the pre-defined formats (SCORM 1.2; SCORM 2004; TinCan xAPI). Depending on the licensing model, the e-learning courses available to the customer are updated monthly along with the latest PINKTUM releases. To ensure the highest possible transparency, PINKTUM World tracks the download status or an e-learning module, allowing every administrator to have a current overview at any time.
In addition, administrators can distribute licenses for PINKprofile to employees within PINKTUM World.
2.2 System Requirements

3. Using Core Features for Administrators
3.1 Dashboard
Overview of all available products—PINKmacros, PINKmicros, PINKtech Talks, PINKprofile—with quick links to the respective products.
3.2 Course Library
All available e-learning courses are listed as course cards and provide an overview of:
- Product type
- Product code
- Available language versions
- Download status and information on the rental period
- Direct link to the download
- Direct link to the course details page
- Direct link to the changelog
- Option to mark as a favorite
- Update information
The course library offers various filtering options:
- By category
- By language
- By status
- By watchlist
- By duration
The course library also offers a comprehensive search function.
From the card view, you can switch to the list view in the course library.
The course library can be sorted by product code or alphabetically (A–Z).
3.3 Download
By selecting one or more languages, the download can be started directly from the course card. Administrators can choose whether they download the e-learning file in the corresponding format only, or the e-learning cover image, fact sheet, workbook, and teaser (or all the above).
By switching to the list view, the download of multiple files can be started simultaneously. You can select either all e-learning courses, individual courses, or just the desired language versions for download. The administrator can decide whether to download the file only (see above) or to perform a CSV export.
When selecting the CSV export, the administrator has various options available to customize the export depending on the company’s needs:
If the download of one or more files, including a CSV file, is initiated, the administrator is provided with the CSV containing the pre-selected columns as well as the selected files. All files are named using both the item code and the e-learning title so they can be easily matched to the respective e-learning course at any time.
3.4 Personal Profile

3.5 FAQ Section
Through the FAQ section, administrators gain access to questions and answers, as well as the download area, where a comprehensive list of documents covering the topics “System Guides,” “Tips for HR Professionals,” and “Tips for Learners” can be found.
In the support section, the administrator can submit a support request directly—this is then routed to the PINKTUM Customer Success Team and addressed in accordance with the agreed-upon service level agreements.
Users should contact the account administrator designated within their organization directly with any questions or issues; this administrator’s name was provided to the user in the PINKprofile invitation email. If the account administrator cannot answer the question themselves, they can forward it to the PINKTUM team. The support request is then processed and communicated back to the user via the account administrator.
3.6 Course Durations
Here, administrators can view an overview of all e-learning courses available to their company, sorted by delivery date and type of delivery (purchase or rental).
3.7 Employees (relevant only for customers with PINKprofile licenses)
In the Employees section, administrators can invite employees to complete the PINKprofile based on the available licenses.
Administrators can either invite an employee directly by entering their email address or create a self-registration link and share it with the employees.
After registering or accepting an invitation, employees gain access to PINKTUM World but can only complete PINKprofile assessments and view their reports within the system.
Administrators cannot view employees’ individualized PINKprofile reports. Only a cumulative summary of course recommendations based on the PINKprofile is available to administrators.
4. Using Core Features for Employees (relevant only for customers with PINKprofile licenses)
4.1 PINKprofile
Upon receiving an invitation from an administrator, employees gain access to PINKTUM World.
Only the PINKprofile card is available to them on the dashboard.
They can start the PINKprofile and, upon successful completion, open the personalized report. This option remains available at all times.
